At Official Polkadot Chocolate, we pride ourselves on delivering premium, high-quality confections crafted to the highest industry standards. Because our products are perishable food items and consumable goods, our return and Refund parameters are strictly structured to maintain rigorous safety, hygiene, and quality control. Please read the following policy carefully prior to completing your purchase. By finalizing an order on our platform, you acknowledge and agree to the legal and operational terms outlined below.
Due to health, safety, and food manufacturing regulations, we do not accept returns or exchanges on any food or consumable products. Once an order has been successfully processed, packaged, and dispatched from our facility, it cannot be returned, resold, or restocked. Change of Mind: We do not offer refunds, exchanges, or store credits for change of mind, personal taste preferences, or accidental duplicate orders. Cancellations: Order cancellation requests must be submitted within 1 hour of placement. Once an order has entered our fulfillment pipeline, it cannot be canceled or modified.
2. DAMAGED, DEFECTIVE, OR INCORRECT SHIPMENTS
We take immense care in packaging our premium chocolates to ensure they arrive securely. However, if your order is fundamentally damaged during transit, defective, or contains incorrect items, we will issue a replacement or store
credit under the following strict conditions: Reporting Window: You must report the issue to our customer support team within 48 hours of the delivery timestamp recorded by the courier tracking network. Required Documentation: To process a quality claim, you must email support with your order number and clear, high resolution photographic evidence of both the shipping box and the damaged, unopened product packaging. Resolution: Upon reviewing and approving your claim, we will arrange for a priority replacement package to be dispatched or issue a digital store credit. Do not discard the product or packaging until your claim has been fully resolved.
3. SUMMER AND WARM-WEATHER SHIPPING POLICY
Chocolate is highly susceptible to temperature fluctuations. While we utilize protective packaging methods during warmer months, Official Polkadot Chocolate is not legally or financially liable for products that melt during transit.
Melting Risks: It is the customer’s responsibility to monitor tracking details and ensure that the package is collected promptly upon delivery so it does not sit in warm weather, direct sunlight, or a hot mailbox.
Remedy: If your chocolate arrives soft or slightly melted due to transit heat, placing the unopened bar into a cool environment or refrigerator for 30–60 minutes will restore its solid form without affecting the flavor, quality, or integrity of the product. These instances do not qualify for a refund or replacement.
4. SHIPPING AND DELIVERY ISSUES
Incorrect Addresses: The buyer is entirely responsible for providing an accurate, complete, and deliverable shipping address at checkout. We are not responsible for packages delivered to the wrong location, returned to sender, or lost due to typographical errors made by the customer. No refunds will be issued for customer-input errors. Stolen or Misplaced Packages: If your tracking status states “Delivered” but you cannot locate the package, please contact the courier service immediately to initiate an investigation. We are not responsible for packages stolen or misplaced post-delivery.
